Certified by SAP, the OnBase Connector 3.0 for use with SAP ArchiveLinkT connects documents generated outside of the SAP system (e.g., invoices, orders, correspondence, employee records, e-mails and more) to SAP business objects. Regardless of how they originated, these documents can be stored in the OnBase repository and retrieved directly from the SAP interface of most common SAP modules by clicking a paperclip icon.

This module also facilitates archiving of historical transactional data to offline media. Relocating obsolete application data attached to completed business transactions into a secure optical storage system optimizes system performance. Archiving data to offline media can reduce storage costs by as much as 97.5%.

Outgoing documents (e.g., purchase orders or outgoing invoices) can be archived directly to OnBase as a PDF and automatically associated with the proper SAP screen. OnBase Connector 3.0 for use with SAP ArchiveLink includes a "Print and Archive" option for SAP reports to make them available for later retrieval, facilitating research.

SAP users can import scanned documents into OnBase in two ways. The first is early storage, which allows documents to be scanned into OnBase first and referenced in SAP second. Late storage, the second method for storing SAP content in OnBase, allows users to create an SAP business object first and associate the imaged document(s) in OnBase later with or without using a bar code. Once these or any other documents are in OnBase, they can be annotated, cross-referenced to related documents and e-mailed/faxed directly from the repository.

OnBase Solutions that complement SAP functionality include

  • The Bar Code Import for use with SAP ArchiveLink module uses the BAPI® (BAPI_BARCODE_SENDLIST) Component of ArchiveLink that allows an OnBase scanning application to register scanned documents with SAP. Bar code data gathered during the indexing process in OnBase is transferred to the SAP Content Server and linked with SAP business objects.

  • The Business Indexing Connector (BIC) indexes OnBase content using SAP and synchronizes the OnBase keywords with data in the SAP system to ensure that values for that document remain consistent between the SAP system and OnBase.
